The College of Engineering, Architecture and Technology (CEAT) invites motivated individuals to apply for the role of Graduation Certification Coordinator in CEAT Student Academic Services. Student Academic Services provides CEAT students with an ecosystem of support. We provide all the people, programs, resources and activities necessary to propel them to success throughout college and into their career. Students will build confidence with the assistance of skilled academic advisors and student affairs professionals whose job it is to help students succeed. CEAT students are better prepared to draw on the knowledge they have gained and carry that momentum to graduation and life beyond college.
The Graduation Certification Coordinator is responsible for maintaining appropriate records to validate student completion of degrees and minors awarded by the College of Engineering, Architecture and Technology (Stillwater and OSU-Tulsa) each semester. They will work closely with our Director, Assistant Director, and our twelve Academic Advisors, as well as Registrar staff and graduation certification personnel in other OSU colleges.
Primary responsibilities include tracking student progress toward completion of degrees and minors; notifying Academic Advisors when students appear ready for graduation; communicating graduation details to eligible students; managing the transfer credit evaluation process; managing incoming major changes to CEAT; ensuring the completion of student athlete eligibility checks; validating the degree requirements for every major/option each year; assisting departmental leadership in managing and presenting data; and coordinating CEAT’s participation in graduation ceremonies each fall and spring semester, including representing CEAT by attending the events.
Candidates must have excellent written and verbal communication skills, the ability to work with students, staff, and faculty from diverse groups, and the ability to prioritize and manage multiple tasks simultaneously. A high level of organization, attention to detail, and problem-solving skills are essential for success.
This position requires the use of various computer systems in the performance of job, such as Banner, Degree Works, Slate, ePrint, Sharepoint, and Microsoft Office Suite programs. Candidates should be familiar with the systems or comfortable learning new systems quickly.
Occasional evenings and weekends are required for special events, including attendance at graduation ceremonies each semester.
Education administration, Counseling, Engineering, or related field
(degree must be conferred on or before agreed upon start date)One year of experience in higher education or related setting.
Must have an understanding of academic records maintenance and higher education systems and policies/procedures. Must maintain appropriate confidentiality when working with sensitive data.
Attention to detail, problem-solving and communication skills. Ability to manage multiple priorities simultaneously. Ability to use Microsoft Office software, particularly Excel. Ability to learn and use OSU data systems.
Education administration, Counseling, or related field
Three years of experience in higher education.
Knowledge of college curriculum, degree requirements, university structure, student records and/or advising would be helpful. Knowledge of CEAT majors and programs. Previous use of student information management systems.
