About this Position

The Administrative Operations Specialist is responsible for a variety of administrative functions in the College of Engineering, Architecture and Technology (CEAT). Our Business Operations unit, comprised of fiscal operations, administrative operations, facilities services, and marketing and communications, is a highly cooperative team that contributes to the efficient operation of CEAT. This position is part of the CEAT Business Operations unit.The Administrative Operations Specialist has several operational responsibilities, serves as a primary liaison to all CEAT departments, and supports the Business Operations team with a variety of administrative functions in the college.Primary responsibilities for this position are coordinating and assisting with the implementation of payroll, recruitment, HR information systems (Banner), training, reports, and the policies and procedures for these programs. The main recruitment responsibility is processing new hire paperwork, but this position may also assist with job postings, job descriptions, interviews, and salary offers. In addition, this position is responsible for maintaining the CEAT Human Resource Information System (HRIS) records and compiling detailed HRIS reports as requested.This position will work closely with the Business Operations team to ensure information is appropriately communicated throughout CEAT, in addition to coordinating with other units across Oklahoma State University. This position will serve as a liaison to OSU administrative units.

Required Qualifications

  • High School/GED (degree must be conferred on or before agreed upon start date)
  • Five years of office clerical and/or customer service experience. Post-secondary education may be substituted for work experience.
  • Skills, Proficiencies, and/or Knowledge: Ability to exercise initiative and independent judgement. Ability to prioritize multiple tasks with competing deadlines. Ability to efficiently handle multiple job tasks while maintaining a high level of productivity. Willingness and desire to learn new things. Must be customer service oriented. Must have good interpersonal skills. Ability to serve students, faculty, department heads, deans and all levels of University employees and the public with varying diverse backgrounds. Dependable and trustworthy in all work related functions. Must be able to handle information in an appropriate and confidential manner. Proficient experience in Microsoft Word and Excel.

Preferred Qualifications

  • Bachelor's Business Administration, Human Resources, or a related field
  • Minimum of three years of experience in administrative operations or human resources. Experience in human resources and experience at Oklahoma State University are both preferred.
  • Certifications, Registrations, and/or Licenses: Completion of any OSU training or development program. SHRM-CP or PHR
