About this Position

Facilities Management Business Operations is looking for a detail-oriented and self-motivated Systems Analyst to join our team. This position’s primary responsibilities are to ensure the Computerized Maintenance Management System (CMMS) software is developed and utilized to bring efficiencies to business processes, KPIs to measure business performance, and assist with written documentation for business standardization and training purposes.

This position will be responsible for four critical areas of business software administration of CMMS:

1.  AiM Support

2.  Communication

3.  Customer Outreach

4.  Training

This position will be responsible for all other duties as assigned.

The work schedule for exempt staff employees is whatever is deemed appropriate to meet the operational needs of the department. Exempt personnel are expected to work hours in excess of 40 hours per week when the workload requires.

Due to communication expectations of the position, the incumbent will be required to maintain a personal cell phone and will be required to be continually available both during and after normal working hours.

This position requires the physical ability to lift up to 50 pounds occasionally.

Ability to become proficient in the use of “AiM” Computerized Maintenance Management System (CMMS) software and the use of mobile technology.

Must use appropriate personal protective equipment as required (hard hat, vest, gloves, safety glasses, hearing protection, etc). These items are provided and are not for personal use.

Required Qualifications

  • Bachelor's (degree must be conferred on or before agreed upon start date)
  • Three years of related experience
  • Certifications, Registrations, and/or Licenses:

    Have before hire and maintain after hire a valid driver's license. A valid driver's license must be maintained for the operation of an OSU vehicle, which is required in the performance of job duties as assigned.

  • Skills, Proficiencies, and/or Knowledge:

    Proficient with Microsoft Office, specifically with Word, Excel and Outlook. Proficient with web-based applications. Skill set necessary for the success of this position: This position requires a self-motivated, customer service oriented person who is approachable, respectful and can maintain a positive attitude in the face of adversity. Effective and professional communication skills. Must be able and willing to learn and adapt to new software, apply changes and develop new processes. Must be able to communicate with a diverse group of supervisors, managers, employees and other university staff. Must be able to be diplomatic and responsive with communication efforts. Able to multi-task and meet assignment deadlines. Critical thinking, decision-making, problem analysis and problem solving skills. Effective at planning and organizing workload. Project management skills: influencing, leading, negotiating and delegating abilities Must be adaptive in a change-oriented environment. Tolerant of others, flexible to different situations and to stressed situations Creative thinker. Teaching skills: Ability to train employees on web-based applications Skilled at identifying inefficiencies and implementing processes that create workplace efficiencies. The ability to work in a team environment.

Preferred Qualifications

  • Experience related to Facilities Management environment at a medium or large university setting. Knowledge with Computerized Maintenance Management Systems (CMMS) and Capital Planning and Project Management (CPPM) systems with preference to Assetworks AiM software system. Experience with process documentation and Microsoft Office Visio. Knowledge of SQL. Four years of clerical/customer service experience. Knowledge of AiM work order management system.
