About this Position

Come join our growing Grant Management team in the Department of Wellness Sponsored Programs (DOWSP) within the Division of Student Affairs. Our team supports community outreach grants (accessibility and wellness) across all 77 counties in Oklahoma. The major function of this position is to provide Pre- and Post-Award support for all sponsored program activities and agreements for the DOWSP and assist principal investigators/teams with the financial and general administration of sponsored awards & contracts. This individual will be the point person providing support, anticipating needs, and resolving problems for DOWSP. Duties include, but are not limited to: Serves as first-line contact as the Sponsored Programs Coordinator for DOW Sponsored Programs located in various locations statewide. Maintains a broad knowledge of state, federal, and private funders’ regulations applicable to all sponsored programs and communicates regularly with sponsored programs staff. This includes OMB Uniform Administrative Requirements, Cost Principals, and Audit Requirements for Federal Awards, CAS, FAR, and the State of Oklahoma purchasing policies. Maintains a thorough knowledge of University policies concerning sponsored programs, intellectual property, compliance, and other related issues. Assists with the pre- and post-award sponsored program management of federal, state, and private sponsors. Works with researchers to coordinate, prepare, develop, and submit proposal, award, and modification routings. Develops and monitor budgets. Researches and reviews funding opportunities. Serve as the liaison between Grants and Contracts Financial Administration (GCFA) and Central Sponsored Programs Administration (CSPA), other colleges/departments and external entities to assist with any financial reporting requests as needed. Negotiates contract, monitors subcontracts, regulatory compliance, and fiscal management. Initiative, accuracy, a customer-service attitude, and the ability to manage multiple projects simultaneously are essential in this position. Expected to train departmental staff as needed/requested on topics related to procurement, and grant management. Participates in 10 hours of relevant professional development annually. Serves as a subject matter expert both internally and externally.

Required Qualifications

  • High School/GED (degree must be conferred on or before agreed upon start date)
  • Eight years of experience in sponsored programs administration or another closely related field. Post-secondary education may be substituted for experience

    Strong organizational skills required. Must have ability to multi-task and prioritize workload for completion of tasks in a timely manner correlated with project deadlines. Extensive computer skills with experience in word processing, Excel spreadsheet, and database systems. Good verbal and written communication skills as well as the ability to work with a team are necessary for this position.

Preferred Qualifications

  • Bachelor's

    Business, Finance/Accounting or other related field

  • Four years in grant management at a University setting. Prior work experience with OSU procurement and payment systems (i.e. AIRS, OK Corral, and WORKS), and grant routing system (CAYUSE).

  • Certifications, Registrations, and/or Licenses:

    CRA; CFRA; OK Corral Procurement Marshal

  • Skills, Proficiencies, and/or Knowledge:

    Familiarity and prior experience with OSU online systems such as AIRS, OK Corral, WORKS, Cayuse, etc. as well as grant routing procedures and systems (Grants.gov; ERA Commons; ASSIST; Login.gov; etc.). Prior experience with Pre- and Post-Award Grant Management is strongly sought after.
