About this Position

The International Fire Service Accreditation Congress (IFSAC) is a peer-driven, self-governing organization that provides accreditation for state, provincial, tribal, and federal government certifying entities, as well as for fire, emergency services, public safety, and related postsecondary degree programs. IFSAC has over 100 member entities and institutions in 17 countries. IFSAC Administration, an extension unit of the College of Engineering, Architecture and Technology at Oklahoma State University, provides comprehensive administrative support, handling the day-to-day operations of the IFSAC organization.

The Administrative Support Specialist is responsible for a variety of essential tasks, including processing financial transactions; preparing certificates; assisting with certification verification requests; entering and maintaining database records; covering the main telephone line; and providing backup support to other staff. The role also supports IFSAC’s broader functions and operations, including assistance with pre- and post-conference tasks; conference logistics; serving as an administrative liaison, as assigned, for governing boards, committees, and the IFSAC membership; and performing other duties as assigned by coordinators and the manager.

The Administrative Support Specialist must handle confidential and sensitive information with discretion; communicate effectively; be detail-oriented; organized; able to work with diverse groups; and work effectively both independently and within a team.

In-state or out-of-state travel is required two to four times per year, as well as international travel on rare occasions. Travel will primarily be for IFSAC conferences, meetings, or workshops but may include tradeshows or other events.

Required Qualifications

  • High School/GED (degree must be conferred on or before agreed upon start date)
  • One (1) year of clerical/customer service experience. Post-secondary education may substitute for years of required experience.

  • Skills, Proficiencies, and/or Knowledge:

    Excellent organizational, interpersonal, and communication skills. Professional and courteous customer service and telephone skills. Detail-oriented. Ability to type and enter data accurately and efficiently. Ability to work with diverse groups and work effectively both independently and within a team. Proficiency in various software applications, including but not limited to Microsoft Office (Outlook, Word, Excel, Access) and Adobe applications.

Preferred Qualifications

  • Vocational/Technical Business or related
  • Three (3) or more years of clerical/customer service experience. Post-secondary education may substitute for years of required experience.
