The Administrative Associate position manages the day-to-day operations for University Counseling Services (UCS). The department has an approximate annual budget of $2m, 20 professional staff, 15 interns and 5 student staff members serving approximately 1200 students with 10,000 appointments per year. Duties include direct supervision of administrative and student staff; all business and budgetary oversight including annual budget preparation and reconciling accounts between department's software and OSU financial reports; responsible for all aspects of payroll and human resources such as managing all personnel recruitment, hiring, and on-boarding processes; and fiscal oversite, invoicing and reconciliation of OSU Foundation accounts associated with UCS. Represent UCS at the Fiscal & Administrative Officers Meeting, Student Affairs and/or campus meetings.
Seven years of related and progressive work experience. Post-secondary education may substitute for years of required experience.
Ability to lift 25 lbs. occasionally.
Accounting or business administration or a related field.
Seven years' related experience.
Three plus years' supervisory experience.
Experience working in a higher education environment.
Proficiency in Banner (EPAFs, Payroll); AIRS (Travel, CVI's, Deposits); OK Corral; Works (P-cards); E-Verify, OSU personnel and payroll processes.
Demonstrated ability of supervising staff for reception/front desk operations.
Basic accounting knowledge, cash handling and reconciliation experience.
Administers the fiscal, administrative and/or business operations of a large department. May assist in the development of operating procedures, budgetary controls, and financial reports. May handle human resources issues.
Maintain confidences and protect security of operations.
