About this Position

Fire Protection Publications is a mission-driven, values-based organization dedicated to the production of high-quality educational content for the international community of firefighters and first responders. The person in this role will be responsible for duties pertaining to Accounts Payable (specifically with sales and tax compliance) & Accounts Receivable for Fire Protection Publications.

Major Responsibilities

As an Accounting Specialist - Sr. Accounting Specialist, you will:

  • Process Sales and Use tax returns for all applicable states. These returns are required monthly or quarterly as required by the state.
  • Register FPP in states as required for compliance of state tax laws.
  • Manage the tax license by state for initial registration and ongoing renewals as needed.
  • FPP will be required to register and file in 48 states at this time.
  • Reconcile collected taxes with tax accounting and financial accounting software.
  • Maintain tax accounting software for FPP.
  • Provide tax reports as requested and work with the OSU tax compliance office as needed.
  • Assist with other areas of the accounting office as needed for support and special projects.
  • Obtain and maintain OK Corral Marshal designation
  • Obtain OSU Pcard and maintain accurate and timely records for full Pcard compliance.
  • Complete all functions of accounts receivable and be responsible for collection of delinquent accounts.
  • Process payments received and ensure proper documentation is maintained on accounts.
  • Process credit card payments for customers.
  • Complete daily deposits and reconcile with xTulple and BlueFin daily.
  • Review and release credit holds for processing orders.
  • Set up and maintain business accounts.
  • Fulfills request for copies of invoices vouchers and shipment tracers.
  • Provide Sales and Customer Support follow up on accounts with available credit.
  • Refunds and Account adjustments process adjustments (write-offs transfers and credit memos) to customer accounts.
  • Ensure proper documentation of accounts.
  • Must be able to maintain and organize detailed records for accounts.
  • Ability to develop and maintain reports on customer billing accounts including delinquent accounts.
  • Provide strong customer service for clients, providing invoices, statements and credit memo.
  • All other duties as assigned.

Required Qualifications

  • High School/GED (degree must be conferred on or before agreed upon start date)

Accounting Specialist: 2 years of experience in accounting/Bookkeeping.

Senior Accounting Specialist: 3 years of experience in accounting/Bookkeeping.

Post-secondary education may substitute for years of required experience.

Preferred Qualifications

  • Five years of experience with word processing, spreadsheet software and various accounting software packages.
  • Two years' experience with OSU accounting functions and tax compliance for businesses.
