About this Position

Fire Protection Publications is a mission-driven, values-based organization dedicated to the production of high-quality educational content for the international community of firefighters and first responders. This person in this role will be responsible for duties pertaining to Accounts Payable for Fire Protection Publications.

Major Responsibilities

As an Accounting Specialist - Sr. Accounting Specialist, you will:

  • Review all purchase requests for appropriate authority, completeness, and compliance with policy and budget information.
  • Procure materials and/or services on own authority that are within dollar limits and policy, utilizing the Purchasing Card (P-Card) as appropriate.
  • Prepare and submit purchase requisitions to OSU for purchases that are beyond authorized limits and/or are required by policy.
  • Order and stock office supplies for FPP supply room and FPP Conference rooms.
  • Seek assistance from FPP management and/or OSU purchasing to resolve any issues that may hinder timely purchasing and/or payments to vendors.
  • Data entry of FPP P-Card reports, travel expenses, and campus vendor invoices into FPP software.
  • Assist in reconciling the Banner and xTuple reports.
  • Provide purchasing services for FPP and related organizations within the authority levels and scope delegated by OSU and approved by FPP.
  • If necessary, attend Purchasing Card training to acquire a P-Card.
  • Utilize the P-Card for authorized credit card purchases of materials and services for FPP.
  • Prepare monthly P-Card transaction reports with receipts for all P-Card purchases.
  • Attend OSU purchasing seminars and workshops to stay current with OSU policies and procedures.
  • Coordinate with OSU purchasing to resolve any questions on procedures or application of policy.
  • Provide guidance to the employees of FPP and related organizations on purchasing policies.
  • Immediately report any violations of purchasing policies to the FPP Director.
  • Match receiving documents to purchase requisitions for resale inventory purchases to ensure proper receipt of inventory and record receipts to stock into the FPP software system.
  • Maintain inventory furniture and equipment records to track and tag equipment.
  • Tag new equipment with OSU equipment tags and maintain a database to track movable equipment.
  • Prepare and process appropriate documents to remove equipment from inventory or transfer equipment between operating departments.
  • Conduct bi-annual physical inventory to confirm the accuracy of the perpetual records.
  • Establish document files for requisitions and P-Card purchases.
  • Coordinate with Sr. Accounting Specialist to maintain files and process appropriate paperwork to increase blanket purchase requisitions when necessary.
  • Serve as the FPP primary point of contact for OSU Facilities Management and ABM. This includes, but is not limited to submitting work orders, following up with staff that the task is complete, and ensuring expenses are reconciled.
  • Cross-train with and assist in other accounting areas as needed.
  • Other tasks as assigned

Required Qualifications

  • High School/GED (degree must be conferred on or before agreed upon start date)

    Accounting Specialist:

    • 2 years of experience in accounting/bookkeeping.

    Accounting Specialist Senior:

    • 3 years of experience in accounting/bookkeeping. Years of experience to include Microsoft Excel and accounting software.

Post-secondary education may substitute for years of required experience.

Preferred Qualifications

  • Bachelor's - Business, Accounting or related field
  • Five years' experience with Microsoft Office and various accounting software packages.
  • Two years' experience with OSU accounting functions.
