About this Position

The College of Engineering, Architecture and Technology (CEAT) at Oklahoma State University is seeking a Sponsored Programs Specialist/Coordinator to join the CEAT Research Administration office. This position provides support for pre-award and/or post-award activities under the supervision of the Manager, Pre-Award or Manager, Post-Award. At the time of hire, the successful candidate will be employed to support post-award activities, as outlined below; however, job duties may be reassigned or modified as needed to align with the operational needs of the office. 

The major functions of this position may include: Preparation and submission of proposals; research funding opportunities; develop and monitor budgets; review cost accounting standard exceptions; seek cost share approval; review for regulatory and fiscal compliance; assist with routing and status monitoring; report changes to funding agency requirements; review invoicing and collection of revenue; monitor technical reporting; prepare, coordinate and monitor subcontracts; participate in sponsor audits; conduct/participate in workshops/training; communicate policies and procedures to faculty and staff; coordinate with other colleges and external institutions; facilitate contract negotiations

The Sponsored Programs Specialist/Coordinator is expected to assist the College in achieving its vision and mission. A positive and professional attitude, and willingness to assist as needed are expectations for all employees. The Sponsored Programs Specialist/Coordinator will have excellent oral and written communication skills. They must be proficient with Microsoft Office Suite, Adobe Acrobat Professional, and the ability to adapt to various online sponsored program systems. The Sponsored Programs Specialist/Coordinator must be self-motivated and capable of managing multiple projects under strict deadlines.

Required Qualifications

  • High School/GED (degree must be conferred on or before agreed upon start date)
  • Post-secondary education may be substituted for required years of experience.

    Sponsored Programs Specialist I

    • Four years of experience in sponsored programs administration or another closely related field.

    Sponsored Programs Specialist II

    • Six years of experience in sponsored programs administration or another closely related field.
    • Knowledge of grants and contracts regulations, budget development, technical reporting, proposal
      submissions, etc.

    Sponsored Programs Coordinator

    • Eight years of experience in sponsored programs administration or another closely related field.
    • Enhanced knowledge of grants and contracts regulations, budget development, technical reporting, proposal
      submissions, etc.
    • Demonstrated ability to provide training on proposals development and grant fiscal and regulatory
      compliance.

    Senior Sponsored Programs Coordinator

    • Ten years of experience in sponsored programs administration or another closely related field.
    • Enhanced knowledge of grants and contracts regulations, budget development, technical reporting, proposal
      submissions, etc.
    • Demonstrated ability to provide training on proposals development and grant fiscal and regulatory
      compliance.
  • Skills, Proficiencies, and/or Knowledge:

    Excellent oral and written communication skills. Proficient with Microsoft Office Suite and Adobe Acrobat. The ability to adapt to various online proposal submission systems. Self-motivated and capable of managing multiple projects under strict deadlines. Excellent organizational and time management skills.

Preferred Qualifications

  • Bachelor's degree

    Any field

  • Previous experience in Research Administration, with knowledge of grants and contracts regulations; budget development; technical reporting; proposal submission; etc. Demonstrated abilities with proposal development and grant fiscal and regulatory compliance.

  • Certifications, Registrations, and/or Licenses:

    Certified Research Administrator (CRA)
