About this Position

Job Summary:

Responsible for the creation, placement, and coordination of position advertisements for internal and external communication. Receives, organizes and tracks resumes and applications for all open positions. Responsible for creation, updates, and verification of all job descriptions. Responsible for the onboarding and offboarding of employees, including new hire orientation presentations. Assists new hires in completing background checks and initial employment documents and onboarding activities. Assists in the overall daily operation of the Human Resource Office.

Essential Job Functions:

  1. Responsible for the creation, placement, and coordination of job postings for internal and external communication, including updating vendors and relevant websites.
  2. Responsible for updating and maintains all job descriptions.
  3. Receives, organizes, and tracks resumes and applications for all open positions through ATS. Greets and assists job applicants in completing applications.
  4. Greets and assists new hires in completing background check and initial employment documents including E-Verify.
  5. Sends recruitment reports to supervisors and track information for compliance reporting.
  6. Responsible for onboarding of employees by communicating new hire processes and following up with appropriate instruction or training in the form of email, presentations, in person and within the departments.
  7. Processes informational requests, such as employment verifications.
  8. Verifies the employee phone directory and websites.
  9. Responsible for off boarding process of employees including separation checklist, exit interviews, etc.
  10. Completes all mandatory training and participates in a minimum of two professional development opportunities each year.
  11. Performs other duties as assigned.

Required Qualifications

  • Associate's degree or equivalent related experience
    (degree must be conferred on or before agreed upon start date)

Work Experience:

  • Three years’ experience in an office support position.
  • Two years’ experience in a human resources position.

 

Skills, Proficiencies, and/or Knowledge:

  • Ability to handle multiple tasks and prioritize effectively with high degree of accuracy and attention to detail.
  • High degree of integrity; ability to work in a sensitive, highly confidential, and professional environment.
  • Ability to manage multiple priorities imposed by frequent deadlines, peak workloads, and public/student contact.
  • Strong interpersonal skills and ability to communicate diplomatically, clearly, and effectively, both verbally and in writing to exchange information, give/receive instructions and respond to inquiries appropriately with all students, faculty, staff and community partners.
  • Demonstrated knowledge of office technologies including but not limited to: office computers, fax machines, scanners, internet, Microsoft Office (Word, Excel, Access, PowerPoint, Outlook).
  • Accurate typing/data entry skills and demonstrated ability to work with attention to detail.
  • Ability to work independently and also collaborate within a team environment.
  • Exhibit problem solving skills beyond a set of instructions and adapt to changes when necessary.
  • Ability to make appropriate recommendations based on logical and justifiable reasoning.
  • Ability to use analytical and critical thinking skills to interpret written policies and procedures.
  • Passion for assisting customers and representing the OSU-OKC and OSU brand with positivity and professionalism.
  • Demonstrated history of ethical and professional behavior.

Preferred Qualifications

  • Bachelor's
  • Experience in Human Resources as recruiter.
  • Experience in Learning Management Systems.
  • HR Certifications, SHRM-CP, PHR, etc.

Working Conditions:

  • Must be able to work flexible hours to include some nights and weekends.
  • Work will be performed in an office environment with a significant amount of public contact, in person, by telephone, via email, and various communication platforms.

Physical Requirements:

  • Duties require extended periods of sitting, talking and listening.
  • Duties require extensive use of computers, telephones and other office equipment.
  • Requires possible lifting of up to 25 lbs. (If an object weights more than 45 lbs., OSU-Oklahoma City requires this to be a two-person lift).
