The Financial Assistant provides comprehensive administrative and operational support for Campus Life, with primary responsibility for fiscal management, human resources coordination, facilities oversight, and daily operational support. This role manages all financial operations for Campus Life, including budget development and monitoring, reconciliation of funds, compliance with university financial policies, purchasing activities, and reconciliation of OSU Foundation accounts. The position also leads human resource processes such as onboarding and off‑boarding, recruitment support, personnel records management, payroll and funding actions, required employee trainings, and serves as the department’s Banner System Super User. Additionally, the Specialist oversees Campus Life facilities and assets to ensure spaces are functional and welcoming, maintains inventories of equipment, technology, and keys, and coordinates with campus partners for facility and IT needs. Learn more about Campus Life at https://campuslife.okstate.edu. The Financial Assistant is responsible for business and operational functions for Campus Life. Manage fiscal operations functions for Campus Life. Reconcile OSU Foundation account including new donations, expenses, vouchers, and reporting. Facilitate the human resource processes within Campus Life. Oversight of telephone services, inventory, keys, department calendar. Process travel requests and reimbursement and staff reimbursements. Assist in compiling reports for Campus Life. Lead special projects, collaborating with staff, campus partners, and other constituents. This position will report to the Assistant Vice President of Campus Life and Student Support and will serve on the Campus Life leadership team.

Required Qualifications

High School/GED

Financial Assistant I: no experience

Financial Assistant II: 1 year of related experience. 

Senior Financial Assistant: 3 years of clerical/customer service experience. 

Post-secondary education may substitute for years of required experience. 

(degree must be conferred on or before agreed upon start date)

Certifications, Registrations, and/or Licenses:

Completion of Ambassador Program and/or Leadership Development after hire is required (approximately 10 hours per year).

Skills, Proficiencies, and/or Knowledge:

Ability to lift up to 10lbs.
Ability to efficiently handle multiple job assignments, with high levels of productivity, in a rapidly changing environment. Maintains confidences and protects security of operations by keeping information confidential and secure. Good working knowledge of Microsoft Word and Excel. Good verbal and written communication skills as well as the ability to work with a team are necessary for this position. 

Preferred Qualifications

Bachelor's

Accounting, Finance, Human Resources, or other business-related degree

Related experience at OSU. Knowledge of Human Resources and Financial Policies and Procedures.
